Purpose of processing personal data
The purpose of the data file is to manage the customer relationships of the event services, facility and area rental invoicing, payment of artist fees and communication of the events and services by the event services.
Personal data to be processed
The name, organisation and e-mail address of the event organiser.
In the case of the area and facility rentals and performance contracts, also a business ID or personal ID code, address and invoicing address.
Are special categories of personal data processed (GDPR, Article 9)?
No.
Grounds for the processing
Contract: facility and area leases, performance contracts and event production contracts.
Consent: registration for briefings and training events organised by the city.

The data subjects themselves.

Based on a contract. If the information is not provided, area or facility leases and performance contracts cannot be concluded.

Primarily in electronic form, processing in paper form only in special cases.

Principles of data protection
TIMMI: access to the data file requires a personal username and password, which the system will force to be changed periodically. The username is provided when a person is granted access rights. The access rights are terminated when the person leaves the position based on which they were granted the access rights. The username is also erased at this point.
M-Files: access rights to the register are limited to event service employees only.
Access rights are granted task-specifically.
Any customer documents in paper form are stored in a locked space, and their use is controlled.
All employees are bound by an obligation of confidentiality.

The data retention period is two years.
